Designing a Proposal Template Non-Designers Could Actually Use

The Brief

A business consultant needed a professional proposal template that could be customised and reused in Canva.
The requirements were straightforward: it needed to look polished, be easy to edit, and be ready within 24 hours.
The challenge was balancing those requirements. A template can look great in its original form but quickly fall apart when the original texts are inserted.
So the goal wasn't simply to design 15 solid pages but to create a flexible system that would remain visually consistent as the client reused it.

The Approach

Before designing, I clarified the practical requirements including the document dimensions, page structure, number of pages and how the template would be used.
That helped establish the right structure before any visual decisions were made and reduced unnecessary revisions later.
I then built the proposal around a consistent layout system, using:

• - Clear section hierarchy


• - Flexible text areas


• - Image placeholders


• - Repeatable page structures


• - Consistent spacing and alignment

The layouts were designed so the client could replace content without needing to redesign the page each time.

Designing for Editability

Because the final product was a Canva template, editability was part of the design delivery.
Text areas needed enough space to accommodate different amounts of copy. Image placeholders needed to be easy to replace. Recurring elements needed to remain consistent across pages.
The result was a template designed not only to look polished when delivered, but to continue looking polished after the client started using it.

The Outcome

The final deliverable was a 15-page, fully editable Canva proposal template, completed within the agreed 24-hour deadline.
The client approved the first draft immediately and described the experience as one of “great communication” and quick execution.

The project demonstrated how thoughtful upfront clarification and a reusable design system can make a fast-turnaround project both efficient to produce and practical for the client to use.
